Okay Smartsuite Brains Trust ,
I'm at a roadblock moment and having had LOTS of experience in building out Workflows in NOTION & ClickUp and my particular problem to solve ,Solution to build is maybe testing out Smartsuite a little to well.
My Business acts as an aggregation company.
I use My 'IT' & Business skills to connect Retail Design Teams [Kitchen & Home renovation Market](The many) to Manufacturing Teams (The One)
My preference for IP security is that EACH Individual Retail Team has its Own Solution in its OWN Workspace that is utilising Automations to Connect to (The One) manufacture in a Standalone Workspace.
The Solutions that each Retail Design Team needs has about 80% of the Digital Workflow Asset requirements that are consistently similar in NATURE that I can template out a Solution to role out effectively to each new iteration of business and then nocode the balance to suite them individually on a business by business case.
Yes the IP protection for the Individual Business is a HIGH priority but I have other Smartsuite specific reasons for preferring this structural system architecture.
Im well aware I can use the TEAMS function in smartsuite to isolate data Sorting and viewing,
But that is not legitimate IP protection as the data is not sitting in their OWN unique database. And the Teams tools don't filter out all the other teams that would be co existing in the eco system,
I would have 100s of Teams !
Record limits are a massive concern !
Record counts would be rather large as a Project could have 100's of individual records in different apps and the TOTAL would scale very quickly,
Yes Redundant NON SALE actioned data could be purged but the industry is notorious for project planning starting 12 plus months before actual $$$ as generated revenue is created, so the planning around 'When To Purge' data would be difficult to manage effectively.
Also this issue in itself creates an issue that the need to PURGE data defeats the goals of data collection.
All data is powerful.
Financial considerations also are relevant because the very nature of these business's is that they would require LOTS of paid active users as currently Smartsuite does not allow Guest to currently interact with data other than to use the comments Field.
Each Retail Design Team could have as many as 5-10 Active user requirements based on Smartsuites current definition of an Active User.
In reality only a MINOR % of these users would actually need to Create data, But currently unlike ClickUp you cannot interact with any other Fields other than Comments as a guest.
The problem I have with the Many Solutions to One Solution is the Linked records fields cannot be Merged.
And I don't seem to be able to merge them in the Manufactures Solution using a Formula field to do a sudo synchronising process.
I have alot of dependent lookups and rollups that make using a Many to One Solution architecture feel like I'm going down the wrong rabbit hole.
Any observations would be appreciated as I have hit a preverbal brick wall on whats the right rabbit hole to go down right now.
